Managing users
This page covers inviting people to a workspace, changing their roles, transferring ownership and removing people. It also explains how each change affects your seats.
Invite someone
Owners, admins and collaborators can invite people to a workspace by email. You must choose a role for each invite. The role has no default, so a paid seat is never chosen by accident.
- The invite link expires after 7 days.
- Inviting the same address again replaces the earlier invite, so each person has at most one live link per workspace.
- The invite must be accepted by an account with the invited email address. If someone opens it while signed in to a different account, the page shows both accounts and offers Switch to this account.
- If the invitee has connected Slack, the invite also reaches them as a Slack DM.
- Each person can send up to 20 invites an hour, and each workspace up to 50 a day.
If an invite would add a paid seat, Skyelight shows the cost before you send it. A reviewer invite never adds a seat.
On Free and Pro, organization admins can also invite people from the People page. The result is the same, sent as an organization invite. The role starts on Reviewer, the free role.
Pending invites appear in the member list on the People page, with a Pending tag. On Team and Enterprise, each workspace’s invites also appear in Configure Workspace Access. From an invite’s menu you can:
- Resend invite, which sends a new link and restarts the 7 days
- Copy invite link
- Cancel invite
Change what someone can do
Owners and admins can change a member’s role, up to their own role. Every role change is checked against the seat limit. After the change, Skyelight shows how it affected your bill:
- Promoting someone to a paid role fills an empty seat you’ve already paid for. If there is no empty seat, Skyelight adds one and charges for the rest of the billing period.
- Moving someone to reviewer doesn’t refund anything. Their seat stays paid and empty, and the next person you promote fills it at no extra cost. The owner can release empty seats from Billing for a credit on the next invoice. See Plans and billing.
When someone no longer holds a paid seat anywhere in the organization, Skyelight revokes their API tokens for that organization. If they are promoted again, the old tokens stay revoked and they create new ones.
When people leave
| What happens | Who does it | Result |
|---|---|---|
| Leave a workspace | Anyone except the owner | Their membership ends. Their threads stay. |
| Removed from a workspace | An owner or admin | Same as leaving. On Free and Pro, they are also removed from the organization. |
| Leave the organization | Anyone except the organization owner | All their memberships in the organization end. Workspaces they owned alone are deleted and can be restored for 30 days. Skyelight refuses if they own a workspace that other people are in. |
On Free and Pro, you can’t leave the workspace on its own, because it is the organization. Leave from Account Details instead.
Transfer ownership
A workspace owner can transfer the workspace to another member and becomes an admin. If a workspace has no owner because the owner’s account was deleted, an admin can claim it. An admin can’t take a workspace from an existing owner.
The organization owner can transfer the organization to anyone who is a member of one of its workspaces. The billing email moves to the new owner. On Free and Pro, ownership of the workspace moves with it, and the previous owner becomes an admin.
Deleting an account
Deleting your account removes your profile and all your memberships. Threads and replies you wrote stay in their workspaces.
Your profile has no delete button. You can delete your account when you delete the last organization you belong to. Otherwise, email support@skyelight.ai and we’ll delete it for you.
